The Ulaanbaatar Chess Club, on behalf of the Asian Chess Federation (ACF), FIDE, and Mongolian Chess Federation, has the honor to invite all Asian National Chess Federations to participate in the Asian Schools Chess Championship 2025 and Asian Youth Rapid & Blitz Championships, to be held 24th October (arrival) – 2nd November (departure) 2025 in Ulaanbaatar, Mongolia.
2. ##### Eligibility of Participants
2.1 To be eligible, players must not have reached his/her respective birthday before January 1st, 2025:
2.2 Each Asian National Federation may register 1 Official Player per category (max 12).
2.3 Defending Champions of last year’s Asian Schools Standard event have the personal right to participate as Official Players in their age category if they meet age eligibility.
2.4 Additional Players may also be registered.
2.5 Head of Delegation (HOD) gets free accommodation. Others are classified as Accompanying Persons.
3. ##### Registration and Travel
3.1 Registration will be via the official web portal (link on asianchess.com).
3.2 Registration deadline: 12th September 2025.
3.3 Late registration may be accepted till 25th September 2025 with penalty.
3.4 Travel expenses are borne by participants/federations.
3.5 For security & organization, delegations must stay at official hotels designated by OC.
4.1 Visa fee: USD 75 per person
4.2 Late visa applications (after Sept 12, until Sept 25) → extra USD 25 penalty.
4.3 OC will issue invitations only after all pre-payments are made.
5. ##### Financial Regulations & Payments
5.1 Entry Fee: Entry Fee: USD 75 (Official), USD 150 (Additional).
5.2 Registration Fee: Registration Fee: USD 110 (all players, HOD, accompanying persons).
5.3 Hotel Rates: full board, per person per night:

5.4 Official players + 1 HOD get free board & lodging during the event.
5.5 All fees must be paid before arrival.
6. ##### Venue & Hotel – Board & Lodging
6.1 The playing venue shall be in the 5-star Ulaanbaatar Hotel. Several other 4-5 star hotel will be provided. All participants and all accompanying persons are required to lodge at the official Hotel(s), booked through the organizers. Other equivalent hotels may be offered if necessary.
6.2 The Organizing Committee reserves the right to rearrange the rooming assignments according to the room availability as it deems appropriate. This includes arranging additional rooms at nearby hotels.
6.3 Twelve (12) Official players and one (1) Head of Delegation (HOD) per country are entitled to free Board and lodging starting from 24th October (after 14.00) to 2nd November (before noon) at the Official Hotel(s) in double rooms. Room upgrades shall be charged extra. Room arrangements will be made on a first-come first-served basis. Early check-in and late departure are charged to the participants.
6.4 All additional players and all other accompanying people should pay the cost for board and lodging (with breakfast, lunch & dinner) per person per day as given below. If the specified room type is not available when organizer receives payment, the organizer reserves the right to modify the room type according to availability.
6.5 Hotel fees are: Single room full board US$120 Double room full board US$90 per person per day

7. ##### Technical Regulations
7.1 The tournament will be conducted using Swiss System of 9 rounds for Standard & Blitz and 7 rounds for Rapid, using the Swiss Manager Program for pairing and shall be in accordance with the Playing Rules of FIDE.
7.2 Time controls: a. Standard 90 minutes for the whole game with an increment of 30 seconds per move starting from move one. b. Rapid 15 minutes + 10 seconds and 7 rounds. c. Blitz 3 minutes + 2 seconds and 9 rounds.
7.4 Players who arrive 30 minutes after the announcement of the start of the games shall lose by default in Standard games. Rapid and Blitz games - game lost when time runs out for the player.
8.1 The final ranking of the players will be determined according to the number of points obtained. If at the end of the tournament, two or more players are tied, the tie shall be broken by the tiebreak systems in the following order:
a. Direct Encounter
b. Greater Number of Wins (forfeits and byes counted)
c. Buchholz Cut 1
d. Buchholz
e. Sonnenborn-Berger

10.1 Trophies will be awarded to the champions, medals and certificates will be awarded to the top three places in each category of Standard games, Rapid and Blitz games.
10.2 Three best Federations, by ranking of medals collected in all groups in Standard Chess, will receive a trophy. For ranking, the number of gold medals will be considered first, and if there is a tie, then the number of silver medals, and if there is still a tie, then the number of bronze medals. If finally, this is still tied, then the total number of medal winners in Standard, Rapid and Blitz applies.
10.3 Team medals will be awarded per category based on the total score of the top three players of a federation. Federations with fewer than 3 players will not be eligible for a team award. In case of any tie, the tie-break scores of each player shall be considered.
10.4 Certificates of participation will be presented to all players, FIDE accredited trainers, managers, and the appointed Technical Officials.
11.1 Direct titles shall be awarded for Standard Chess in accordance with FIDE handbook https\://handbook.fide.com/chapter/B01DirectTitles2025
11.2. Gold medalists of U13, U15 and U17 Open/Girls groups shall be awarded the FM / WFM titles. The Silver & Bronze Medal winners shall be awarded the Candidate Master (CM) / Woman Candidate Master (WCM) title.
11.3 Gold, Silver & Bronze Medal winners of the U7, U9 & U11 Open/Girls groups shall be awarded the CM/WCM title.
11.4 For a direct title to be awarded immediately an applicant has to have achieved at some time or other a minimum rating as follows: FM 2100/WFM 1900, CM 2000/WCM 1800
12.1 The Asian Chess Federation President will appoint the Technical Delegate, the Chief Arbiter and Fair Play Officer as well as the necessary assistant arbiters and other officials.
12.2 The Chairman of the Appeals Committee shall be nominated by the Asian Chess Federation President. The Committee shall be composed of one chairman and two members and two reserves, all from different federations, chosen from among the representatives of national federations present.
12.3 Protests, including appeals against decisions of the Chief Arbiter or his assistants, must be submitted in writing to the Chairman of the Appeals Committee within thirty (30) minutes after completion of the relevant playing session.
12.4 Each protest shall be submitted in writing with an accompanying fee of USD 100 or its equivalent in local currency. If the protest is upheld, the protest fee will be returned otherwise it shall be forfeited to the Organizing Federation.
12.5 The decision of the Appeals Committee is final, binding and takes effect immediately.
12.6 No protests will be entertained in Blitz Games or Rapid Games where the decision of the Chief Arbiter will be final.
12.7 The Chief Arbiter may, in consultation with the Asian Chess Federation, issue additional written regulations to take care of other details not covered by these regulations.
Those who need visas must submit their information no later than 1st September 2025. Invitations shall be issued only after all the pre-payments are made. Organizers will not bear responsibility for visas of late entries.
14. ##### Transfer Information
Organizers shall provide airport transfers for the registered participants from Chinggis Khaan International Airport to the Official Hotel, and from the Official Hotel to the airport. Therefore, all participants are required to send their flight details of arrivals and departures to Organizers before 15th October 2025 to provide transfer service. Otherwise, organizers will not bear any responsibility for the transfers.
